Terms and Conditions

1. Introduction

These terms and conditions (“Terms”) govern the use of our Fire Risk Assessment services provided by Vertex Fire Inspections Ltd (“the Company,” “we,” “our,” or “us”). By engaging our services, you (“the Client,” “you,” or “your”) agree to these Terms. Please read them carefully.

 

2. Services Provided


Vertex Fire Inspections provide fire risk assessment services in accordance with current UK fire safety legislation and best practices. Our services include site inspections, risk analysis, and written fire risk assessment reports. We may subcontract performance of our services under the contract and these Terms.

 

3. Client Responsibilities
 

The Client agrees to:
 

  • Provide full access to the premises as required for the assessment.

  • Ensure that all necessary safety measures are in place during the inspection to prevent hazards.

  • Supply accurate and complete information regarding the property and any previous fire safety reports or systems in place.

  • Act upon recommendations provided in the risk assessment in a timely manner to maintain compliance with fire safety regulations.

  • Ensure that any systems or records required for the assessment (e.g. fire alarms, logbooks, evacuation plans) are available during the visit.
     

4. Inspection Process
 

  • The inspection will be carried out by trained and qualified personnel.

  • Inspections are visual assessments only, and while thorough, may not identify hidden defects or issues that could arise over time.
     

5. Reports and Recommendations
 

  • Upon completion of the inspection, the Company will provide the Client with an inspection report within 10 working days, subject to payment in full.

  • The report will outline any areas of concern, including non-compliance with fire safety regulations.

  • Recommendations will be provided, but the decision to act on those recommendations lies solely with the Client.
     

6. Limitations of Service
 

  • Our assessments are based on the conditions and information available at the time of inspection.

  • We are not responsible for any hidden or inaccessible areas, or for changes made to the premises after our assessment.

  • Our service does not constitute a guarantee of legal compliance or immunity from prosecution.

  • Implementation of recommendations is the sole responsibility of the Client.

7. Pricing and Payment Terms
 

  • The pricing for fire risk assessment services is outlined in the quotation.

  • We will invoice you for payment of the fees on completion of the services.

  • Payments must be made in full within 10 working days of our invoice or in accordance with any credit terms agreed between us. Late payments may incur additional fees.

  • Payment in full is required prior to the release of the report.

  • We reserve the right to modify prices at any time, but the agreed price will remain valid for the duration of the contract.

  • All prices are subject to VAT, unless otherwise stated.
     

8. Cancellations and Amendments
 

  • We can withdraw, cancel or amend a quotation if it has not been accepted by the Client or if the services have not started within a period of 14 working days from the date of quotation.

  • If the Client needs to cancel or reschedule an inspection, they must notify the Company in writing at least 7 working days in advance.

  • If the Client fails to provide adequate notice, the Company may charge a cancellation fee or reschedule the inspection at its discretion.
     

9. Confidentiality
 

We respect the confidentiality of all client data and assessment findings. Reports will only be shared with authorized individuals and will not be disclosed to third parties without consent, except as required by law.

10. Limitation of Liability
 

To the fullest extent permitted by law:

  • Vertex Fire Inspections shall not be liable for any indirect, incidental, or consequential loss or damage.

  • Our total liability for any claim shall not exceed the amount paid by the Client for the relevant service.

  • We do not accept responsibility for failure to act on recommendations provided in our reports.
     

11. Compliance with Laws
 

  • The Company complies with all relevant fire safety regulations, industry standards, and best practices during inspections.
     

12. Termination
 

  • Either party may terminate the contract if there is a material breach of these Terms, with written notice to the other party.

  • In the event of termination, the Client must pay for any services rendered up to the termination date.
     

13. Dispute Resolution
 

  • In the event of a dispute, both parties agree to attempt to resolve the issue through negotiation or mediation.

  • If a resolution cannot be reached, the dispute will be resolved in accordance with applicable laws in England and Wales.
     

14. Intellectual Property
 

All documents, reports, and materials produced remain the intellectual property of Vertex Fire Inspections and may not be copied, shared, or used for any other purpose without written permission.
 

15. Governing Law
 

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
 

16. Changes to Terms

The Company reserves the right to amend these Terms at any time. The Client will be notified of any changes, and continued use of services constitutes acceptance of those changes.
